Summary
The Pediatric Dermatology Research Alliance (PeDRA) is a vibrant nonprofit organization pursuing the mission to create, inspire, and sustain research to prevent, treat, and cure childhood skin disease. PeDRA’s Executive Assistant will provide administrative support to the Executive Director, support volunteer leadership engagement, membership administration, and coordinate a variety of projects and initiatives across departments. Through these activities and others, PeDRA’s Executive Assistant will bring us closer to the vision of changing lives and healing children with skin disease through collaboration and discovery. This new part-time position is expected to evolve in sync with the growth of PeDRA. Motivated candidates are likely to be positioned for near-term expansion of hours and long-term advancement within the organization.
Responsibilities
- Provide administrative support for the Executive Director and other staff as needed, including scheduling meetings, correspondence, and office functions.
- Provide support to the PeDRA Board of Directors and Committees, including drafting agendas, minutes, and meeting packets.
- Support routine financial activities, such as reimbursement reports, invoices, and payables.
- Enter and maintain data in PeDRA’s SalesForce database.
- Support virtual and in-person event planning.
- Track project deliverables and due dates.
- Other activities as assigned.
Requirements
- Associate or bachelor’s degree, with at least three years of relevant experience preferred.
- Experience with nonprofit administration and operations.
- Consistent high attention to detail with the ability to self-monitor for accuracy.
- Excellent collaborator who is comfortable with written and verbal communication.
- Experience with project management a plus.
- Familiarity with SalesForce, Zoom, and online forms a plus.
- Proficiency with Microsoft Office programs.
- Interest in supporting a mission-driven organization committed to improving the lives of children through research.
Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job the employee must regularly sit at a workstation and look at a computer screen. The employee must frequently stand and must occasionally lift objects.
Work Conditions
Environment: PeDRA is a virtual organization, with each employee working remotely. The Executive Assistant must be based in the Portland, Oregon metropolitan area but will work from their home or other suitable location that has access to the internet. They must also be available for occasional in-person responsibilities such as filing and meeting material preparation.
Hours: Average of 15 – 20 hours per week anticipated on a flexible schedule.
Travel: Overnight travel is anticipated once per year to the PeDRA Annual Conference with the potential for additional travel opportunities.
